MINUTES OF THE 2008 ANNUAL GENERAL MEETING

The annual general meeting of Heslerton Cricket Club was held on Friday 28th November 2008 in the Village Hall, West Heslerton, commencing at 7-30pm, with L Johnson in the Chair and a further 20 members present.

APOLOGIES OF ABSENCE

Apologies of absence were received from Secretary, P Nutt, P Triffitt, Liz Blackborrow and Rosie Spaven.

In the absence of the Secretary J Crossland accepted his invitation to deputise during the meeting.

MINUTES OF 2007 ANNUAL GENERAL MEETING

The minutes of the 2007 Annual General Meeting had been posted on the Sports Club web-site, or circulated as required, with members made aware of the procedure. With all members having access all were in favour of accepting the minutes as being a true and correct record after a proposal by M Spaven, seconded S Oxendale.

MATTERS ARISING

There were no matters arising from the minutes.

CHAIRMAN’S REPORT

The Chairman opened his report with reference to the new pavilion which he described as a dream come true, thanking all members for supporting the opening ceremony on a lovely day in July.

He congratulated the juniors winning the Aconley 6-a-Side competition held at Heslerton and those who won individual awards that day. After umpiring occasional matches he had been pleased with their determination and will to win. John Wharton received the Chairman’s praise for organising the juniors as did all whom had helped with coaching. John was also congratulated for captaining the 2nd X1 to runners-up position in the Derwent Valley League Div ‘B’ thus gaining promotion to Div ‘A’ in 2009.

The Ryedale Evening Beckett League team also were congratulated after being promoted from Div ‘B’ as champions, thanking Adam Spaven after a successful season as captain.

Simon Oxendale was then thanked for captaining the 1st X1 to a mid-table position in the Readers Scarborough Beckett League Div ‘A’ but was disappointed that they had faded towards the end of the season as had been the case for the past few seasons.

Further thanks were directed to John Crossland, for his work for the club, Bas Dring and Vic Bowes for looking after the ground and pitch, Charles Benthall, as fixture secretary, treasurer Graham Young, Paul Nutt as Secretary and for his patience and work obtaining the ECB Clubmark accreditation for the Club and finally all the ladies who helped provide teas during match days.

The Chairman concluded his report by thanking all vice-presidents, sponsors and all who helped make the game and ground so much better.

SECRETARIES REPORT

The Secretaries report was read first apologising for his absence and thanked John Crossland for standing in on the night. He conveyed his thanks to all members for their fantastic contribution to last year comparing the club’s current position to five years ago as incredible. Paul realised every player had been proud to use the new pavilion and wondered how they had managed without sightscreens and covers. Gaining the ECB Clubmark accreditation he thought would bring many benefits to the club, especially the juniors and with 4 additional players becoming level 2 coaches thus giving the club access to 7 qualified coaches put the club in a fantastic position. Organising the coaching he thought was a priority, especially at under 13 level and asked that consideration be given to dropping out of some cup competitions to contribute more time to helping the junior players. With the Committee’s approval the Secretary informed the meeting that he had taken the first step to engaging an overseas player for next season, which would not only boost the playing strength but help with the development of juniors. A request for possible temporary employment and accommodation for a possible player was made.

The Secretary continued to thank John and Jo Wharton, Charlie Benthall, Bas Dring, John Crossland and Steve Milner for their stamina, enthusiasm and pure hard work towards the club, stating they were all an inspiration to everyone. Further thanks were directed to Les Johnson, Graham Young, Vic Bowes, Simon Oxendale, Adam Spaven, Tony Watson, Malc and Rosie Spaven, Cath Triffitt, Audrey Slaughter, Emma Nutt, Trish Milner, Jane Webster, Liz Blackborrow and all other people who had contributed towards the running of the club.

The successes of the 2nd X1, Evening League and Juniors were highlighted with damp wickets and inconsistency blamed for the 1st X1’s mixed season but Paul thought with youth, talent and enthusiasm there was potential for improvement next season. Investing in youth he thought was paramount encouraging juniors to support the club after having spent time and effort into teaching them to play cricket and should additional players be required to attract them with the same ruthlessness that other clubs had shown towards us.

The Secretary commended the players on their discipline, stating how important it was as lapses were severely punished by League Committees. He was disappointed having to drop out of the Pickering Evening League but was confident that was the correct decision having spent hours on the telephone, together with Simon arranging mid-week games requesting that players inform him of there availability.

Information regarding net practices at Norton College from January to March would be circulated when available, the Secretary urging players to support them. He also sought help when required to install a full length artificial pitch for a new practice net.

The Sports Club web-site received the Secretaries praise with the cricket pages detailing Clubmark, Club development plan, fixtures, results and match reports with the opportunity for further development.

Concluding his report the Secretary emphasised progression, due to incredible enthusiasm and the hard work of members and players stating that we must continue the improvement and tremendous team spirit that is so important in helping all enjoy being involved with Heslerton Cricket Club.

TREASURER’S REPORT

The Treasurer commenced his report congratulating the club on reversing the 2007 loss of £386 into a profit of £307.08, being delighted with additional fund raising especially a profit of £781.20 from the Bingo & Christmas Draw, which was almost £170 more than the previous year. Bingo’s in February and September raised £223 and £131 respectively. Canteen profits and donations had seen sizable increases helping raise a total of £3,184.49. Continuing the Treasurer explained that payments were very similar to previous year which resulted in a figure of £1911.20 to be carried over to next year, which was one of the best ever. Concluding his report Graham thanked everyone for their commitment to the Club, congratulating everyone on a successful season.

S Milner proposed the accounts be adopted, seconded J Wharton and carried unanimously.

EVENING LEAGUE - It was confirmed that the Club enter Ryedale EL Division ‘A’

JUNIOR REPORTS – Charles Benthall reported that the under 11’s had a small group of players of ranging abilities but although not winning they thoroughly enjoyed the season.

John Wharton reporting on the under 15’s congratulated the team for winning the Aconley 6-a-side competition and Alex Carrie (batting) Mark Dring (bowling) Robert Crick (fielding) for winning individual awards. £230.00 had been raised with a raffle during that competition. Finishing mid-table in the league was considered satisfactory now having much younger players. Two players had represented the district which showed great promise and representative matches played at Heslerton had proved financially successful after selling refreshments. He thanked his wife Jo and Jane Webster for organising the canteen and Emma Nutt and Rosie Spaven for additional help during the 6-a-side competition. John stressed the importance of coaching the under 11’s, helping the junior players achieve a higher standard much earlier. The importance of an under 13’s coach was stressed.

INSURANCE

The insurance with NCA was explained to the meeting. Last season, costing £351.00 and itemised:-

£195 liability insurance providing for property damage and personal injury to third parties

£50 basic personal accident cover

£60 increase cover for being off work to £40 / week

£26 All risks, covering club bags & trophies up to £750

£20 to cover damage to the artificial wicket

SUBSCRIPTIONS

After discussing the age at which the £12.50 at school subscription was relevant all were in favour to leave the structure of the subscriptions as previous year:-

Seniors £30.00

At School £12.50

Juniors £5.00

CHRISTMAS DRAW AND BINGO

The Christmas Draw and Bingo was confirmed on 18th December 2008 in the Village Hall, West Heslerton.. John Crossland thanked everyone who gave prizes and helped last year when over £700 was raised and asked for similar support for the coming function.

Help on the night was sought, with Malc Spaven liaising with Rosie to organise the supper arrangements.

ANY OTHER BUSINESS

Steve Milner asked for assistance with levelling the West side of the Sports Field and laying the artificial pitch which would be used for practice and coaching.

Members were informed that the area East of the Bowling Green had been levelled and sown down in preparation for additional junior cricket and football.

Malc Spaven informed members of future coaching at Norton College. Details would be provided when available.

As there was no further business the Chairman thanked everyone for their attendance and declared the meeting closed at 8-40pm.
